Learning Agreement

The Learning Agreement (LA) is a plan that specifies in detail which courses you plan to complete during your mobility.  The Learning Agreement and Transcript of Records guarantee the transfer of grades from courses you complete during the exchange. The Learning Agreement consists of three parts: BEFORE, DURING, and AFTER – the Mobility.

 

The LA should be signed by three parties:

  • Mobility coordinator from the home institution
  • Coordinator from the host institution
  • Student

In case of changes to the study plan, changes in the LA should be updated in the During Mobility LA and signed by the three parties.

The LA and Transcript of Records guarantee the transfer of grades from courses completed by a student on exchange.

Accepting the Learning Agreement

By selecting the option “Finish filling out and notify coordinator” you confirm completion of the LA and close the possibility of making changes to the LA. To unlock the editing tool, contact the faculty coordinator.

After completing the LA in USOS, contact the faculty coordinator by email requesting approval of your LA with the subject line: LA Acceptance [Your name] and send it to: swzmpb@uw.edu.pl. The coordinator does not receive email notifications from the system. 

Whenever possible, avoid submitting requests at the last minute. During the Erasmus+ period, the Section responds to requests within 5 business days.

Learning Agreement Procedure

The LA should be signed by three parties – the mobility coordinator from the home institution, the host institution, and the student. In case of changes to the study plan, changes in the LA should be updated in the DURING and AFTER LA and signed by the aforementioned three parties.

Creating a Decision

After being qualified for the exchange, you should request the Faculty Coordinator to create a decision.

Complete the LA and submit it for acceptance using the “Finish filling out and notify coordinator” option.

Director of Studies Acceptance

TheLA should be sent to the Director of Studies to obtain acceptance of the selected courses.

Faculty Coordinator Acceptance

After the LA is accepted by the Director of Studies, it should be submitted to the Coordinator for acceptance, or the Coordinator should be included in the message to the Director of Studies.

Signature of the Host Institution Coordinator

After obtaining acceptance from the Director of Studies and the Coordinator’s signature, the LA should be signed and sent for signature to the Host Institution Coordinator.

Submitting a Decision in USOS

The e-Learning Agreement is available in your USOS profile under the tab:

Student Exchange → Outgoing → Course Programme → Agreement Details

If the message appears “No course agreement has been created for this exchange” contact the faculty coordinator as soon as possible with the email subject: USOS Decision [Your name] to the address: swzmpb@uw.edu.pl

Where can I complete the LA?

The Learning Agreement is available in your USOS profile under the tab: Student Exchange → Outgoing → Course Programme → Agreement Details

By when should I send the Before the Mobility LA to the host institution?

The Faculty of Political Science and International Studies does not have a strict deadline for completing the LA. As a rule, they must be signed so that you can conclude a financial agreement for a grant from the Erasmus programme. Host institutions may set separate deadlines for you; please ensure these are met and also inform  SWZMPB that you have an external deadline.

 
Can I include language courses in the LA?

Yes, during the exchange you have the option to complete one language course, up to 6 ECTS credits, which are then converted as credits for Ogun.  

Can I convert ECTS credits from the exchange to OGUNs?

Yes. Either automatically for a language course, or in any other situation with the consent and in consultation with the Director of Studies.

Does the number of courses in the LA matter?

The number of courses at the partner institution does not matter; the number of ECTS credits must definitely match.

How many ECTS credits should I complete during the exchange?

During the exchange, a student should complete 30 ECTS credits. 
A seminar automatically reduces this value. You can never have fewer than 20 ECTS credits.  

What is Table A, Table B, and Table BB?

Table A – these are courses that the student selects and completes at the host institution.

Table B – these are courses not required for completion. These are courses from the core curriculum that would have been completed at UW in the semester during which the exchange takes place. (Excluding Oguns, language courses, seminars, and internships).

Table BB – these are required courses that the student must complete online despite being on exchange (e.g., seminar, ogun).

Can the LA be signed electronically?

Yes. Acceptance of the LA in USOS is equivalent to signing. Therefore, after its acceptance, you can generate the LA with a signature.

Who signs the LA?

The Before, After, and During the Mobility Learning Agreement should be signed by three parties: the Faculty Coordinator, the appropriate Coordinator from the Host Institution, and the student.

What is the role of the Director of Studies in signing the LA?

To obtain the Faculty Coordinator’s signature, the courses included in the LA must first be accepted by the Director of Studies. The Director of Studies accepts courses by email or in writing. When sending an email to the Director of Studies, add the Section to the recipients  swzmpb@uw.edu.pl
