Frequently Asked Questions (FAQ)
Duration of internships and period of completion - information for students who commenced their studies BEFORE October 1, 2019
In connection with the current epidemiological situation, we recommend completing internships remotely in whole or in part. If internships are to be conducted on-site, the host entity should declare (via email) that the internships will be conducted in a manner ensuring compliance with sanitary protocols in accordance with the guidelines of the Chief Sanitary Inspectorate.
Students who commenced their studies before October 1, 2019 are required to complete three months of student internships, which should correspond to approximately 360 hours of internships. Internships may be completed in one continuous period with the same employer, or may be divided, provided that the minimum period of internship with one employer is not shorter than one month. Students may therefore divide the internship period into two stages (with the first stage lasting one month and the second stage lasting two months) or into three stages, each lasting one month.
Internships must be credited within the deadlines specified in the study plans of individual programs. Study plans are available on the Faculty website; we encourage you to familiarize yourself with them! However, students have the option to complete internships in earlier years of study. Please note that only those activities undertaken after commencing studies in a given program may be credited toward internship requirements.
Duration of internships and period of completion - information for students who commenced their studies on October 1, 2019 or later
Students who commenced their studies on October 1, 2019 or later are required to complete six months of student internships, which should correspond to approximately 720 hours of internships. Internships may be completed in one continuous period with the same employer, or may be divided, provided that the minimum period of internship with one employer is not shorter than one month.
Internships must be credited within the deadlines specified in the study plans of individual programs, i.e., two months of internships in the 4th semester of study, two months of internships in the 5th semester of study, and two months of internships in the 6th semester of study. Students have the option to complete internships in earlier years of study. Please note that only those activities undertaken after commencing studies in a given program may be credited toward internship requirements.
Forms of crediting mandatory student internships
Students should complete the required number of student internship hours for their program and year of study. In justified cases, students may apply to have student internships credited on the basis of employment or other forms of activity. It is not possible to credit internships on the basis of operating a sole proprietorship.
Crediting student internships "step by step"
Step 1. Consultation with the internship supervisor for the program
The supervisor advises students on selecting an internship placement appropriate to their program of study and provides other information related to the course and crediting of student internships. If necessary, the authorized representative may issue a referral for student internships (the referral form is available for download in the documents section).
Step 2. Signing an individual agreement on the organization of student internships: authorized representative of the Career Development Center for internships at the Faculty of Political Science and International Studies
Student internships are conducted on the basis of an individual agreement (the agreement form is available for download in the documents section), an integral part of which is a framework internship schedule. The agreement is signed on behalf of the University of Warsaw by the authorized representative of the Career Development Center (please print the agreement in three copies).
Note: one copy of the agreement should include an annotation from the program supervisor confirming acceptance of the internship placement.
Note: The employer may propose their own agreement template. This is acceptable, although a different document template will require approval by UW legal counsel (which will extend the entire procedure by some time).
After the agreement is signed by the internship organizer, the student is required to return one copy of the agreement. The internship coordinator or supervisor registers the student for accident insurance for the duration of the internship and provides additional information related to its course.
Step 3. Completion of internships.
In the event of problems or irregularities related to the course of the internship, please contact the appropriate program supervisor and the authorized representative of the Career Development Center.
Step 4. Crediting internships
Upon completion of the internship, the student is required to present the program supervisor with the documents necessary for crediting the internship. Based on these documents, the supervisor credits the student's internship in the USOSweb system.
After each internship completion, please submit:
– a certificate of internship completion issued and signed by the internship organizer (certificate forms are available in the documents section).
Note: please print the form appropriate for your program of study.
– a questionnaire regarding the course of the internship completed by the student.
Additionally, when a student is crediting the full internship requirement, i.e., has completed the entire required number of internship hours with one employer or has completed the final portion of internships (in the case of divided internships), please submit a report on internship completion (the report template is available for download in the documents section).
Crediting student internships on the basis of employment "step by step"
Step 1. Consultation with the internship supervisor for the program…
The program supervisor assesses whether the student's workplace or other activity meets the requirements specified for student internships in the given program of study. The student should present the internship supervisor with a completed application for crediting internships on the basis of employment/other forms of activity (the application form is available for download in the documents section) and other documents confirming the employment or activities undertaken.
Step 2. Crediting internships on the basis of employment/other forms of activity by the authorized representative of the Career Development Center for student internships at the Faculty of Political Science and International Studies
Based on the documentation provided by the student, the authorized representative of the Career Development Center verifies whether the activity completed by the student may be credited toward mandatory student internships. Verification is conducted on the basis of the documentation presented by the student.
Note: the document should include an annotation from the program supervisor confirming acceptance of the given activity.
Verification is both formal (e.g., checking whether the period of employment/student activity is sufficient to credit the student internship) and substantive (it is important that the activity aligns with the curriculum of the given program of study). Based on the documentation presented, the authorized representative credits the student's internship in the USOSweb system.
In each case, please submit:
– a certificate of employment at a company/institution together with a description of duties or a document confirming other activity;
– a certificate of professional tasks completed, signed by a representative of the employer (the certificate template is available for download in the documents section).
Additionally, when a student is crediting the full internship requirement through work or other activity, please submit a report on professional tasks completed (the report template is available for download in the documents section).
Where to look for student internship placements?
If you have your own idea for an internship, contact the person responsible at your chosen institution and arrange the timing and form of the internship with them. Present the employer with the possible form of formalizing the internship. Remember to consult with the program coordinator when selecting an internship organizer.
If you do not have your own idea for an internship, ask the program coordinator for advice on this matter. You may use offers from the UW Career Office or the Faculty internship database, or internship offers available on the Faculty website.
